•Manage job tasks list for staff and third-party providers •Manage projects - Existing projects given by marketing manager to put into Asana (Similar to basecamp or project management software) for marketing teams to complete. •Light bookkeeping and budgeting •Occasional purchasing of items for the office •Processing returns/handling online orders from time to time •Occasional receipt organization & credit card reconciliation •Serve as a liaison with other departments and outside organizations •Maintain up to date contact information •Keep up to date records of industry news •Manages schedules and coordinate meetings with internal and external parties •Create reports and executive summaries for internal distributions •Excellent communication skills with marketing team, management of other departments and CEOs, and outside vendors and clients •Extreme attention to detail for meetings, project assignments and updates, notes •Strong project management skills - working with a marketing team of 20 people, as well as members of other departments, CEOs, and outside vendors and client •Ability to absorb all information given to them, internalize the best next steps, and then take action for those next steps (a middle ground, delegate work, reassign work, etc) •Not afraid to take pushback, and knows how to properly respond and find a resolution/ middle ground for both parties •Manage an extensive business calendar; schedule meetings and appointments •Arrange detailed travel itineraries •Organize Trade marketing point-of-sale, promotion, signage, and other marketing incentives for stores •Wine Sample & promotional shipments for sales demos and meetings •On-sale sales team requests for accounts •Marketing POS inventory maintenance •Upload and manage needs from sales staff for our Trade website •Systematic and Procedural (i.e. they should file projects in our marketing server folder + create projects with a clear system in place) •Commands respect while being empathetic of individual team member’s workload and aspirational work goals •Runs occasional errands
•Undergraduate degree in Communications, Marketing or related field •Experience interfacing with business clients and staff a must. •Great communicator—concise with points, clear with writing emails/project tasks •A great listener and exceptionally organized •Excellent communication skills and proven professionalism and discretion when it comes to sensitive information •Ability to handle multi-faceted projects and meet deadlines •Excellent written and verbal communication skills •Excellent organizational skills •Detail-oriented and able to work in a fast-paced environment •Microsoft Word, Excel, PowerPoint, Outlook and other computer applications/programs •Strong Internet research skills •Strong project management skills •Must have a form of transportation •Ability to work occasional overtime
