Reporting to the Vice President of Communications & Marketing, the Executive Assistant independently performs a range of administrative duties, including those of a complex, specialized, or confidential nature, for the Communications & Marketing department and the departments senior leadership team. As an integral part of a fast-paced team of more than 30 communications and marketing professionals, this role serves as a connector and enabler.
Responsibilities and essential job functions include but are not limited to the following:
Provide administrative support to the Associate Vice President, Senior Directors, and Directors, including scheduling and coordinating department meetings and events (preparing agendas, coordinating speakers), drafting documents and reports, and providing calendar support
Work with the Associate Vice President and Directors on special projects and initiatives; track and manage relevant timelines and deliverables
Manage confidential and sensitive information with a high level of discretion
Financial and budgetary support
Support the Associate Vice President in developing and monitoring budgets and tracking, verifying, and reconciling expenses
Establish purchase orders and process invoices for the AVP and senior leadership team in collaboration with Purchasing and Accounts Payable departments. Complete monthly credit card reconciliation
Maintain department's media, software, and related subscriptions
Ensure thorough and consistent onboarding of new employees and offboarding of departing employees
When on-site work resumes, organize and maintain department equipment, electronic and paper files, marketing collateral, supplies and other materials in shared department workspaces and supply room; secure and track department assets, and ensure proper functioning of printers and other shared electronic equipment. Order department supplies and track inventory
Process monthly effort certification forms for payroll
Backstop staff managing the department general email inbox, including responding to and/or redirecting inquiries
Establish, communicate, and follow effective administrative processes
Identify opportunities to improve processes and create efficiencies
Bachelors degree or equivalent work experience
5+ years progressively complex administrative work supporting members of a leadership team
Advanced knowledge of Microsoft Outlook, Teams, Excel, Word, PowerPoint, and SharePoint
Health, academic research, and/or nonprofit experience a plus
Knowledge, Skills and Abilities
Proficient with Microsoft Office applications, including Outlook, Word, Excel and PowerPoint
Demonstrated ability to prioritize and manage time-sensitive tasks, projects, and workflow in a fast-paced environment
Strong attention to detail, initiative, and follow-through
Strong problem-solving skills
Collaborative work style; ability to build strong working relationships across the organization at all levels
Ability to protect and manage confidential and sensitive information
Experience organizing and maintaining electronic filing systems
Naturally curious, supportive, and empathetic
