The Marketing Associate/Sponsorship Coordinator is responsible for the promotional and communications campaigns of 10-15 live conferences and related online offerings, assisting with accreditation and continuing education compliance of UT Law CLE programs, as well as coordinating and implementing benefits for confirmed sponsors and exhibitors.
Work closely and collaboratively with Program Directors and senior managers to coordinate and execute marketing and communications campaigns for a portfolio of 10-15 live annual conferences, as well as an assortment of webcasted seminars and recorded eProducts, including development, scheduling, timely production and execution of all promotional print and email campaigns, registrant communication, timely collection and review of copy and graphics, and coordination of service providers to ensure all campaign elements execute on schedule. Liaise as directed by Program Directors with UT Law CLE co-sponsors and other conference sponsors regarding joint marketing efforts to obtain and provide needed copy, list, and campaign coordination.
Demonstrate proficiency using proprietary content management system, Microsoft Office (Word, Excel and Outlook), as well as software for coordinating and executing marketing campaigns, such as Emma, Qualtrics, and WordPress, in addition to various online and social media platforms, such as LinkedIn, Twitter, and Facebook. Incorporate new software offerings as needed and teach other team members how to use them. Create and refine custom searches for data extraction from proprietary "Admin" customer database. Normalize data and incorporate as needed into marketing campaigns.
Assist in accreditation of programs by preparing applications, reporting attendance, preparing compliance reports, and issuing certificates. Enter accreditation data for all credit types into internal business systems, ensure credit is reported by stated deadlines. Confirm issuance of certificates. Keep meticulous records and files of all approval notices. Work with other department staff on customer MCLE credit inquiries and other questions and address accreditation, reporting, and compliance issues. Assist, as needed, in research-intensive projects related to accreditation and compliance.
Administer established processes to coordinate and implement benefits for confirmed sponsors and exhibitors of conferences, studio webcasts, and online offerings in collaboration and consultation with the Program Directors, serving as a sponsor and exhibitor liaison and helping to establish and strengthen lasting business relationships with sponsor organizations. Collect and publish information for confirmed sponsors and exhibitors, including the collection and verification of sponsor listings, profile information, and logos, publishing sponsor information online, and creating sponsor pages for conference materials. Coordinate and implement any unique benefits as outlined in sponsorship and exhibitor packages, including any on-site benefits for sponsors and exhibitors. Execute sponsorship and exhibitor invoicing and collections, and related correspondence with sponsor and exhibitor contacts.

Bachelor’s degree. Minimum one year of professional marketing and communications experience. The ability to manage multiple priorities with minimal supervision, a professional demeanor, self-motivation, ability to learn quickly, comfort with high-profile constituents, and excellent written and oral communication skills are essential. High degree of accuracy and timeliness necessary. Excellent computer skills, including database management and MS Office. Aptitude to interpret data and understand what to do with the information it presents. Relevant education and experience may be substituted as appropriate.
Three years of professional marketing and communications experience. More than the required experience in sponsorship and administrative work. MCLE, CPE, CE, or other professional certification experience highly preferred. Project management experience. Demonstrably strong writing skills. Direct or related experience in creating, developing, and marketing professional educational conferences, including knowledge of basic concepts and vocabulary for select legal practice areas experience and success working collaboratively with high-profile committees, advisors, and speakers from law, business, technology and government, coordinating agenda and content development, speaker and sponsor recruitment, and MCLE accreditation.
