Provides administrative support in the day-to-day operations of External Relations Alumni Marketing & Communications. Reports to the Associate Director, Development Communications (Direct Marketing) and works closely with the Business Operations team. Performs a variety of administrative duties, provides support for the collateral inventory management and samples libraries, and distributing mail. Delivers excellent customer service to internal partners in External Relations (ER) and across HBS, as well as alumni.
Supports all of AM&C, and the more specific needs of the Direct Marketing team, including maintaining samples library and portfolios, gathering and organizing files, assets, and data for electronic filing, and managing inventory
Reviews signatures for letters and maintains a library, including preparing signatures for printing
Provides proofreading/checking for appeals and other alumni communications
Provides additional support for appeals projects, including production of mailings in-house and occasional vendor coordination
Manages collateral materials inventory management, storage, and archival projects
Materials management and collation
Provides support for the HBS Alumni Bulletin magazine, including quarterly tasks of managing distribution of special deliveries, annually binding the year's magazines, and filing with the Library of Congress
Calls couriers and distributes team's mail as needed
Supports AM&C Coordinator with photo archiving and batching photos and uploading to digital asset management system as needed
This is a part-time term position for a year from the date of hire with a standard work week of 28 hours/week.
This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 2 days per week. Specific days and schedule will be determined between you and your manager.

High School Diploma, GED, or equivalent is required.
3+ years of experience in an administrative support role(s) and/or related experience is required.
Education beyond high school may count toward experience.
Excellent verbal, organizational, and interpersonal communication skills.
Accuracy and strong attention to detail are essential.
Proficient in Word, Excel, PowerPoint, and Outlook.
The successful candidate should have demonstrated customer service skills, and the ability to work with multiple levels of an organization.
Ability to handle complex and confidential information with discretion.
The ability to work within deadlines with minimal supervision is a must, as well as work as part of a team.
Ability to manage and prioritize multiple projects to meet deadlines in a fast-paced office.
The candidate should have the willingness to learn new skills and the ability to communicate ideas clearly (verbally and written) Qualified candidate should be proactive, efficient, and a multi-tasker.
Computer skills: advanced Word processing and Excel experience required; familiarity with WorkFront, mail merge, databases, and Adobe Photoshop preferred.
Overtime may be requested during peak periods.
